The only personal information this site collects is what you send through the application form. This page explains what happens to it.

Who is responsible for your information

Performance Bodies is run by Dan, a personal trainer based in York. Dan decides how your information is used, which makes him the controller under UK data protection law.

What the application form collects

  • Your first and last name and email address.
  • Which service you're interested in and how long you've been training.
  • Whatever you write about your goals. That can include health information, such as injuries, if you choose to share it.
  • That you've ticked the box agreeing to this policy.

Along with it, the form service records the time you applied and that the application came from this website.

Why it's used, and the legal basis

Dan uses your application to decide whether he can coach you, and to reply. The legal basis is that you've asked to be considered as a client, so it's needed to take steps before a possible contract.

You don't have to share health information. If you do, Dan uses it only to judge whether and how he can coach you safely. Health information gets extra protection in law, and the basis for using it is your explicit consent, which you give with the tickbox on the form and can withdraw at any time by getting in touch as above.

Your details are never sold, never used for marketing, and never shared with anyone except the services below that make the form work. No decisions about you are made automatically.

Who handles it

These companies handle your application:

  • Takeover Solutions runs the form service that receives your application, stores it and emails it to Dan.
  • Amazon Web Services stores applications and sends that email, from data centres in London.
  • Microsoft provides Dan's email account, where your application arrives and where any replies are kept. Microsoft may store email outside the UK. Where it does, the transfer is covered by the UK's data bridge with the United States or by contract terms the UK has approved for international transfers.
  • The company that hosts this website. Like any web server, it briefly logs technical details of each visit, such as your IP address and browser, to keep the site running and secure.

How long it's kept

Applications that don't lead to coaching are deleted 2 years after you apply, both from the form service and from Dan's inbox. If you become a client, what's needed to coach you is kept for as long as you're coaching with Dan.

Cookies and Instagram

This site sets no cookies and uses no analytics or tracking. Its fonts are served from this site, not from a third party.

If you message Dan on Instagram instead of applying here, that conversation is handled under Instagram's privacy policy.

Your rights

You can ask Dan to:

  • give you a copy of the information he holds about you;
  • correct anything that's wrong;
  • delete it;
  • stop or limit using it, or object to how it's used;
  • send it to you or someone else in a reusable format.

Get in touch as described at the top of this page. You'll get a reply within one month, and it's free.

If you're unhappy with how your information has been handled, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. It would help to raise it with Dan first, so he can try to put it right.
